Actions
Each monthly report sets up to three actions for the following month. You give each one an owner and a due date, mark it off in the app, and the next report opens with what happened to it.
There are never more than three live actions. New actions only fill free slots.
Where to find them
Section titled “Where to find them”Go to Marketing Intelligence > your brand > Overview tab > Actions. Each action is one row with its owner, due date and status; select the row to open it and edit the owner, due date, notes and status. The heading shows how many are open and how many are overdue, for example “3 open, 1 overdue”.
Each action shows:
- what to do, and why
- Measured on: the number it should move
- Set for: the month it was set for
- Owner, Due date and Notes, which you fill in
Overdue actions sit at the top of the list, most overdue first.
Owner, due date and notes
Section titled “Owner, due date and notes”Owners, admins and members can fill these in. Viewers can see them but not change them. Each field saves when you click away from it.
| Field | What it’s for |
|---|---|
| Owner | Who’s doing it. Type anything: a name, a role, “Me”, “David”, “Marketing Manager”. KnowYourMarket.ai never fills this in for you. |
| Due date | When it should be done. A new action is due on the last day of the month it’s set for. Change it whenever you like. |
| Notes | Progress, blockers, anything worth remembering. |
The owner and due date show on every report: in the monthly report’s action review and next month’s actions, and in the quarterly actions ledger. An action with no owner shows as Unassigned.
Update an action’s status
Section titled “Update an action’s status”Use the list next to each action to set its status:
| Status | What happens |
|---|---|
| Open | Still to do. Stays live. |
| Not done | Still to do. Stays live. |
| Done | Leaves the live list and goes to History. The next report shows it with what moved. |
| Not applicable | Leaves the live list and goes to History. The report won’t suggest it, or anything like it, again. |
Mark an action done
Section titled “Mark an action done”- Choose Done.
- Optionally, add What was done.
- Select Mark done.
Mark an action not applicable
Section titled “Mark an action not applicable”Use this when an action doesn’t fit your business, for example a store page when you don’t sell online.
- Choose Not applicable.
- Add why it’s not applicable. The report uses this so it won’t suggest the same thing again.
- Select Not applicable.
When an action is overdue
Section titled “When an action is overdue”Actions don’t drop off on their own. An open action stays on the list, month to month, until you close it.
Once its due date has passed, an action is Overdue:
- It moves to the top of the list with an Overdue by pill showing how many days late it is.
- The monthly report lists it in an Overdue table with its owner, due date and how late it is.
- The Monday digest email leads with it. See Alerts, digest and Slack.
To give it more time, change its Due date. Each time you move the due date of an overdue action, it counts as a push and the action shows Pushed 1x, Pushed 2x and so on.
Still want this?
Section titled “Still want this?”When an action is 30 days overdue, it asks you to decide. A box under the action reads Overdue by … days. Still want this?, with three choices:
- Keep it: pick a new due date and select Keep it. It stays on the list and counts as a push.
- Done: marks it done.
- Not applicable: marks it not applicable.
The box also shows how long before the action is parked if nothing changes.
Parked
Section titled “Parked”If an action reaches 90 days overdue and no one has given it a new due date, it’s parked. It leaves the live list, goes to History as Parked, and frees a slot for a new action in the next report.
Nothing is deleted. To bring a parked action back, reopen it from History. See History.
When the list is full
Section titled “When the list is full”The report only adds new actions when there’s a free slot. If all three live actions are still open, the report says so instead of adding more. To free a slot, mark one Done or Not applicable.
History
Section titled “History”Actions that have left the live list are kept in History.
- Below the live actions, select History.
- Actions are grouped by the month they were set for. Each shows its owner, due date, status (Done, Not applicable, Parked or Retired) and any note.
To bring one back, choose Change next to it, then Reopen, Mark done or Not applicable. A reopened action goes back on the live list. If its due date has passed, it’s given the last day of the current month.
Retired actions are from before October 2026, when unfinished actions were retired after two months. That no longer happens.
Before your first report
Section titled “Before your first report”Until your first report arrives, the section reads: “Your first report sets up to three actions for the following month.” When all actions are closed, it reads “Nothing open” until the next monthly report sets new ones.
